Privacy Policy

This policy explains how Salar Software LLC (“Salar Software”, “we”, “us”) collects and uses information when you use our photo proof-of-cleaning platform (the “Service”). For most data in the Service, our customer (your employer or the cleaning company you work with) is the data controller and we process data on their behalf.
1. Information we collect
- Account information: name, email address, role, and organization membership.
- Work content: photographs of completed cleaning work, facility names and addresses, tickets and messages, and related records your organization creates. Photos are re-encoded on the device before upload, which strips embedded camera metadata (including GPS location) from the image file.
- Billing information: subscription and payment data is handled by Stripe; we store your plan, billing status, and billing email — never card numbers.
- Usage and technical data: log data such as IP address and timestamps for security (for example rate limiting and audit logs), and error diagnostics if error monitoring is enabled. Our marketing site uses privacy-friendly, cookieless analytics (Plausible) when enabled.
2. How we use information
- to provide, secure, and support the Service;
- to process subscriptions and send billing-related emails;
- to send operational emails (invitations, password links, trial and payment notices) — we do not sell personal information, and we do not send third-party advertising;
- to investigate abuse and enforce our Terms;
- to comply with legal obligations.
3. Sharing and subprocessors
We share data only with service providers that host or operate parts of the Service:

We may also disclose information if required by law, or as part of a merger or acquisition (with notice).
4. Data isolation
Every customer organization’s data is isolated: access is enforced at the database layer per organization and per role, photo storage is segregated per organization, and no organization can access another’s data.
5. Retention
- Photos: kept per your organization’s configured retention period (default 90 days), then permanently deleted; pinned photos are kept until unpinned or deleted.
- After subscription cancellation: photos are kept for a 60-day grace period, then permanently deleted; other organization records are retained until deletion is requested.
- Account data: kept while the account exists; deleted on verified request, subject to legal retention duties.
6. Security
Measures include row-level security on all customer data, private storage with short-lived signed URLs, encryption in transit and at rest, role-based access control, and audit logging of security-relevant actions. No system is perfectly secure; report concerns to the address below.
7. Your rights
Depending on your location you may have rights to access, correct, export, or delete personal information. Where we act as processor, requests from your organization’s members are routed through the organization’s administrator; otherwise contact us directly and we will respond within the time required by applicable law.
8. Children
The Service is a workplace tool, not directed at children under 16, and we do not knowingly collect their data.
9. Changes
We may update this policy; material changes are announced by email or in-product before taking effect.
